QuickBooks Desktop 2024 Editions: Which One Fits Your Business?

Three questions settle it for most businesses
Customers who message us before buying usually start with "which QuickBooks should I get?" and we almost always answer with three questions of our own. Work through them in order and the right edition is usually obvious:
- Do you run Windows or a Mac? Every Windows edition (Pro Plus, Enterprise, Enterprise Accountant) is a Windows program. On a Mac the native choice is Mac Plus.
- At your busiest moment, how many people are in the company file at the same time? Not how many employees you have — how many are signed in together. Pro Plus and Mac Plus stop at three. Four or more means Enterprise.
- How big and how complicated are your lists? A few hundred customers and a modest product list fit comfortably in Pro Plus. Very large customer, vendor or item lists, or a need to control exactly what each staff member can see, point to Enterprise.
A fourth question applies only to accounting practices: do you work inside your clients' files? If so, look at Enterprise Accountant.
The four editions in plain terms
Pro Plus 2024 — the small-business default on Windows
Pro Plus covers the everyday accounting cycle: estimates and invoices, receiving payments, entering and paying bills, bank and credit-card reconciliation, sales tax, and a large library of standard reports. It supports one, two or three simultaneous users on a local network.
Where it stops: no more than three people in the file at once, simpler user permissions than Enterprise, and a combined names list (customers, vendors, employees and other names) capped at 14,500 entries — a ceiling most small businesses never get close to.
Enterprise 2024 — when you outgrow the small-business limits
Enterprise 2024 (Intuit's "Enterprise Solutions 24.0") is the Windows edition for businesses that have run into Pro's walls. It scales to as many as 40 simultaneous users, handles far larger lists, and adds role-based permissions so you can decide precisely which screens and transactions each person can open. Reporting is deeper, which matters once several departments rely on the same books.
Where it costs you: Enterprise files are one-way. Once a Pro or Premier company file is opened in Enterprise it is converted, and it cannot go back to Pro.
Enterprise Accountant 2024 — for firms that work in client files
Enterprise Accountant is Enterprise plus the tools a bookkeeping or accounting practice uses every day: the Accountant Toolbox, Client Data Review, batch transaction entry, bulk reclassification and the Accountant's Copy workflow. Its big advantage is the ability to switch between editions, so you can see a client's Pro or Premier file the way the client sees it. Our guide to QuickBooks Desktop for accountants and bookkeepers goes into the details.
Mac Plus 2024 — the native Mac edition
Mac Plus is a real macOS application, not a Windows program in disguise. It needs macOS 12 (Monterey) or later and runs on both Intel and Apple-silicon Macs. It focuses on core bookkeeping for one to three users. It does not include the Windows-only industry editions or Enterprise's capacity, and its files are not opened directly by Windows QuickBooks — conversion tools exist in both directions, covered in our Mac Plus 2024 guide.
Five real-world matches
- A consultant who keeps their own books on a Windows laptop — Pro Plus, 1 user. Anything more is unused capacity.
- A shop where the owner and two staff record sales and bills during the day — Pro Plus with 3 users, with the company file hosted on the office PC.
- A distributor with six people in the file at month-end and a product list in the thousands — Enterprise, sized to the people working at the same time.
- A bookkeeping firm serving clients on several different QuickBooks editions — Enterprise Accountant.
- A design studio that runs entirely on MacBooks — Mac Plus; export a copy for a Windows-based accountant at tax time.
Decisions that are hard to undo
Two choices are one-way, so it is worth getting them right the first time:
- Moving a file up to Enterprise. Pro and Premier files open in Enterprise, but the converted file will not reopen in Pro or Premier.
- Upgrading an older file to 2024. QuickBooks 2024 converts files from earlier versions when you first open them, and the upgraded file will not open in the older version. Make a backup before you open it.
Neither is a reason to hesitate — just a reason to back up and to buy the edition you will actually stay on.
Mistakes we see most often
- Buying a seat for every employee. Licenses count simultaneous users. See how many users you really need.
- Installing a different edition from the one you bought. License and product numbers are edition-specific — Pro Plus codes will not activate the Enterprise installer, and vice versa.
- Choosing Mac Plus when the business really needs Windows-only features, such as more than three users or Enterprise permissions.
