QuickBooks Pro Plus 2024 3-User: How It Works & Setup

What "3 users" means in Pro Plus 2024
A QuickBooks Desktop Pro Plus 2024 3-user license lets up to three people work in the same company file at the same moment, each on their own Windows computer with their own copy of QuickBooks installed. It counts simultaneous users, not employees: ten staff who take turns in the books still fit, as long as no more than three are signed in together.
You install QuickBooks on each of the computers that will use it and enter the same license and product numbers on each. One computer also hosts the company file so the others can reach it over the office network.
Three is also where Pro Plus stops. If a fourth person ever needs to be in the file at the same time, the next step is Enterprise. Not sure about your number? Our guide to how many users you need helps you count.
What your office needs
- Up to three Windows PCs for the users, each meeting the 2024 system requirements: 64-bit Windows 11, an Intel or AMD processor, 8 GB of RAM.
- A host computer for the company file. It can be one of the users' PCs or a separate always-on machine. Intuit's guidance for a server hosting one to five users is 8 GB of RAM, and an SSD noticeably speeds up a shared file.
- A local network connecting them. A wired connection to the host is more reliable than Wi-Fi.
- The same QuickBooks version and release everywhere. All three must run QuickBooks 2024 at the same update level, or they will not share the file cleanly.
Setting it up, in order
1. Install QuickBooks on the host
Run the installer on the host computer and choose Custom and Network Options. Pick the option that matches how the host will be used:
- "I'll be using QuickBooks Desktop on this computer, and I'll be storing our company file here so it can be shared over our network" when someone also works on this PC.
- "I will NOT be using QuickBooks Desktop on this computer..." for a computer that only stores the file. This installs the QuickBooks Database Server Manager rather than the full program.
2. Put the company file in a shared folder
Create a folder on the host's local drive (for example C:\QuickBooks Data), move the company file into it, then share the folder: right-click it, choose Properties → Sharing → Advanced Sharing, tick Share this folder, and give the Windows users who will work in QuickBooks full read and write permission.
3. Scan the folder with Database Server Manager
On the host, open QuickBooks Database Server Manager from the Windows Start menu, go to Scan Folders, add the shared folder and click Scan. This registers the company file so the other computers can connect to it.
4. Turn on hosting — on the host only
If the full QuickBooks program is installed on the host, open it and choose File → Utilities → Host Multi-User Access. Only the host should have hosting turned on; on the other computers this option should stay off.
5. Install and activate QuickBooks on each user's PC
On each workstation, run the same installer, choose Express (or Custom with "I'll be using QuickBooks Desktop on this computer"), enter the same license and product numbers, and activate. Press F2 afterwards: the Product Information window should show your license number followed by ACTIVATED. Then use Help → Update QuickBooks Desktop so every computer is on the same release. Our install and activation walkthrough covers this step in detail.
6. Open the shared file in multi-user mode
On each workstation, choose File → Open or Restore Company → Open a company file, browse the network to the host's shared folder, select the company file, tick Open file in multi-user mode, and open it.
7. Give each person their own login
As the QuickBooks administrator, go to Company → Set Up Users and Passwords → Set Up Users and create a user for each person. Separate logins mean the audit trail shows who entered what, and you can limit areas such as payroll or banking to the people who need them.
Fixing the common multi-user errors
- H202 or H505 ("this company file is on another computer, and QuickBooks needs some help connecting"). The workstation cannot reach the host. Check that the host is on and connected, that the QuickBooks Database Server Manager service is running on it, and that Windows Firewall on the host is not blocking QuickBooks (Database Server Manager's Port Monitor tab shows the port your version uses). Intuit's free QuickBooks Tool Hub includes QuickBooks File Doctor under Network Issues, which tests and repairs the connection.
- "The file is in use" or someone is stuck in single-user mode. Ask everyone to save their work, then have the user who opened the file in single-user mode choose File → Switch to Multi-user Mode.
- One computer cannot open the file after an update. It is on a different release. Run Help → Update QuickBooks Desktop on every computer and restart QuickBooks.
- Everything is slow. Host the file on an SSD, connect the host by cable rather than Wi-Fi, and stop the host computer from going to sleep.
Maintenance tips for a shared file
- Back up from the host with File → Back Up Company → Create Local Backup, and keep a copy off-site.
- Run Verify Data and Rebuild Data out of hours. Both live under File → Utilities and need single-user mode, so everyone else must be out of the file.
- Remote staff need a way onto the office network first — usually a VPN, or a remote-desktop session to an office computer. Multi-user mode is designed for a local network.
