Getting a new computer shouldn't mean losing your books. Because QuickBooks Desktop stores your company file locally, moving to a new machine is really two jobs: reinstalling the software (and re-activating your license), and moving your company file across intact. Done in the right order, it's straightforward. This guide walks through it safely.
Always make a fresh backup before you start. A current backup is your safety net if anything goes sideways.
Step 1 — Back up your company file (old computer)
On your current computer, open QuickBooks and create a backup company file (the .QBB backup). Save it somewhere you can move to the new machine — an external drive or a secure cloud folder. This backup captures your data so you can restore it cleanly on the new PC.
Step 2 — Note your license details
Have your QuickBooks Desktop license and product information ready for the new machine. If you bought a genuine one-time license from us, your key and download link are in your original delivery email — keep that handy for re-activation.
Step 3 — Install QuickBooks on the new computer
On the new machine:
- Download the same QuickBooks Desktop edition and version you were using (e.g., Pro Plus 2024). Installing a different edition can cause problems opening your file.

Step 4 — Restore your company file
With QuickBooks installed and activated on the new computer, restore the backup you made in Step 1 (open QuickBooks, choose to restore a backup company file, and point it at your .QBB). Once it opens, check a few recent transactions and reports to confirm everything came across.
Step 5 — Deactivate or retire the old copy
Once the new machine is working, stop using QuickBooks on the old computer to avoid confusion over which company file is current. If you're disposing of the old PC, remove your data first.

- Use the same edition and version. A newer version can usually open an older file (it may upgrade it), but you can't open a newer file in an older version.
