QuickBooks Desktop 2024 vs Online: An Honest Comparison
By the TaxUSA support team · Updated Oct 20, 2026 · 7 min read
The short version
QuickBooks Online is the better fit when people need to work in the books from many places and devices, and when a monthly bill that includes updates suits you. QuickBooks Desktop 2024 is the better fit when the work happens in one office, when you want the program and the data on your own computers, and when you would rather pay once than keep paying. Both are real accounting systems; neither is a toy.
We sell Desktop, so read the rest knowing that — but we tell customers who need Online to buy Online, because a refund request three weeks later helps nobody.
How each one is paid for
QuickBooks Online is a subscription sold by Intuit, billed monthly or yearly per plan, with user limits and features that depend on the plan you choose. Prices change over time, so check Intuit's current plans rather than any figure quoted in an old article.
QuickBooks Desktop 2024, the way TaxUSA sells it, is a one-time payment for a 2024 license. You install it on your own Windows PCs (or a Mac, with Mac Plus) and keep using that version without a renewal from us. Optional Intuit services such as payroll or payment processing are separate in both worlds.
The fair way to compare cost is to set the one-time Desktop price against the number of months you expect to use the software, then add whatever add-ons each option would need in your business.
Where Desktop is genuinely stronger
- Speed with big files. A company file on a local SSD opens reports and long transaction lists faster than most browser sessions, especially with years of history.
- Working without the internet. Invoicing, bill entry, reconciliation and reports keep working during an outage. You need a connection only for activation, updates and online features such as bank feeds.
- Control of the data. The company file sits on your machine or your office server. You decide where it is stored and who can copy it.
- Mature tools for complex businesses. Enterprise in particular is built for larger lists, many simultaneous users and fine-grained permissions.
- Predictable cost. Once paid, the license does not change price next year.
Where Online is genuinely stronger
- Access from anywhere. A browser or the mobile app is all a remote team or a travelling owner needs.
- No installation or updates to manage. Intuit runs the software and applies changes for you.
- Collaboration with an accountant online. Your accountant can log in to the same books without exchanging files.
- Backups handled for you. With Desktop, backups are your job (we recommend an external drive plus an off-site copy).
What to know before choosing Desktop today
- Intuit's direction. Intuit puts its new development into QuickBooks Online and Enterprise. Our article on whether QuickBooks Desktop is being discontinued explains what that means for a 2024 license in practice.
- Windows 11. QuickBooks Desktop 2024 is supported on 64-bit Windows 11 and Windows Server 2016 to 2022; Windows 10 is past the end of Microsoft support. See the system requirements.
- Remote work takes setup. Multi-user Desktop is designed for a local network. Remote staff usually connect through a VPN or a remote-desktop session to an office computer.
Switching later
Moving from Desktop to Online is a well-trodden path: Intuit provides a migration tool, though not every list setting and report carries across identically. Moving from Online back to Desktop is much harder and often means starting a fresh company file. In other words, starting on Desktop keeps both doors open; starting on Online mostly closes one.
A five-question checklist
- Does everyone who touches the books work in the same office most days? (Desktop)
- Do you need to work in the books from a phone or from several cities? (Online)
- Is your company file large, or do you rely on heavy reporting? (Desktop)
- Would you rather pay once than pay every month? (Desktop)
- Do you want someone else to handle updates and backups? (Online)
If most of your answers point to Desktop, compare the 2024 editions or go straight to the products page.
